Agreement to These Terms
These Terms of Service ("Terms") govern your use of the StationHQ mobile application, web app, and related services (collectively, the "Service"), operated by JDX Group LLC ("JDX," "we," "us"). By creating an account, signing in, or otherwise using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.
StationHQ is sold and provided to volunteer and career fire departments and EMS agencies in the United States ("Departments"). Most users access the Service as authenticated members of a specific Department.
The Service
StationHQ is a department-management platform that helps fire and EMS agencies coordinate day-to-day operations. Features include but are not limited to: roster management, calendar and RSVP, push and SMS alerts, dues and finance tracking, equipment and apparatus inventory, preventive maintenance tracking, NERIS-compatible incident reporting, internal chat, and budget planning.
Specific features available to a given user depend on (a) their role within their Department and (b) the feature flags enabled by that Department's administrators.
Eligibility & Accounts
Who May Use the Service
- You must be at least 18 years old to create an account, or 16 with verified consent from your Department's chief or admin
- You must be an authorized member, employee, officer, or shared apparatus account of a Department that has signed up for StationHQ
- You must provide accurate identifying information (name, email, rank, contact info) and keep it current
Account Security
You are responsible for safeguarding your sign-in credentials and for all activity that occurs under your account. Notify us immediately at Admin@JDXStudio.com if you suspect unauthorized access. We are not liable for losses arising from your failure to keep credentials secure.
Apparatus & Shared Accounts
Department administrators may designate accounts as "Apparatus" accounts for use on shared devices. Apparatus accounts are subject to additional restrictions including a PIN gate on certain features. Geofencing and personal location features are automatically disabled on Apparatus accounts.
Department-Level Use
StationHQ is licensed on a per-Department basis. Each Department's data is logically isolated from every other Department's data. The Department's administrators ("Admins") control:
- Which features are enabled for their Department
- Roster membership, role assignments, and account suspensions
- Permission to grant cross-station access to chiefs who oversee multiple stations under the same Department
- Who acts as the point of contact for billing and account-level decisions
By using the Service as a member, you acknowledge that your Department's Admins have authority over your account within that Department, including the ability to suspend or remove your access.
Acceptable Use
You agree NOT to:
- Use the Service for any unlawful purpose or in violation of any applicable federal, state, or local law
- Impersonate another member, officer, or Department
- Upload content that is harassing, threatening, defamatory, obscene, or otherwise objectionable
- Attempt to access another Department's data or any account that is not yours
- Reverse engineer, decompile, scrape, or otherwise attempt to extract source code or bulk data from the Service
- Bypass authentication, rate limits, feature flags, or PIN gates
- Use the Service to transmit malware, phishing content, or unsolicited advertising
- Use the Service in a way that interferes with or disrupts other users or the Service infrastructure
- Use AI features in a way that violates the terms of the underlying AI provider
Violation of these provisions may result in immediate account suspension or termination at our sole discretion.
Department Data & Content
Ownership
All operational data entered by your Department or its members — including but not limited to rosters, incident reports, dues records, inventory, equipment photos, chat messages, and NERIS reports — remains the property of the Department. JDX does not claim ownership of Department data.
License to Operate
You grant JDX a limited, non-exclusive license to host, store, transmit, display, and process Department data solely as necessary to provide the Service to your Department. This license terminates when the Department's account is deleted, subject to reasonable backup and audit retention windows.
Member-Generated Content
You are responsible for any content you create within the Service (chat messages, alerts, notes, photos). You represent that you have the right to post such content and that it does not violate the rights of any third party.
AI Features
Some features of the Service use third-party AI providers, including but not limited to:
- Photo-based equipment inventory generation
- Replacement cost estimation for turnout gear and equipment
- Future AI-assisted features as added
When you use an AI feature, the relevant snippet of data (e.g., the photo, the gear description) is transmitted to the AI provider for processing. AI outputs are suggestions only and may be inaccurate, incomplete, or inappropriate. You are responsible for verifying any AI-generated information before relying on it. AI providers do not retain your data for model training under our agreements with them.
Certification & Career Path Information
StationHQ may surface suggested next-step certifications, training-hour estimates, and progression chains based on common public standards including but not limited to NFPA professional qualifications (1001, 1002, 1006, 1021, 1031, 1033, 1041, 1072, 1403, 1521), NREMT EMS pathways, FEMA EMI ICS/NIMS courses, and NWCG wildland qualifications.
This information is educational and informational only. It is not official certification guidance, training endorsement, or legal advice. State, county, and Authority Having Jurisdiction (AHJ) requirements vary and may include additional prerequisites, experience hours, age minimums, background checks, or supplementary training not reflected in the in-app suggestions.
StationHQ is not affiliated with, endorsed by, or partnered with NFPA, NREMT, FEMA, NWCG, or any state fire academy. Members and departments are solely responsible for verifying actual prerequisites, course validity, and recertification requirements with their state fire academy, EMS office, or AHJ before enrolling, scheduling, or relying on any suggested progression.
Communications
By creating an account you agree to receive operational communications from us, including transactional email related to your account, security notices, and product updates. Marketing email is opt-in and you can unsubscribe at any time.
Note: SMS messaging is documented for future use and is not currently active. The SMS feature is awaiting carrier registration approval (Twilio A2P/10DLC). Once active, it will be strictly opt-in and governed by the SMS Terms & Consent. Push notifications are live and can be controlled in your in-app Settings.
Subscription, Fees & Billing
StationHQ is sold to Departments under a subscription model. Pricing, included features, and billing terms are set by the agreement between JDX and each Department. Individual members do not pay JDX directly for the Service.
If your Department's subscription lapses, fails payment, or is cancelled, access to certain features may be suspended or limited until the subscription is reinstated. JDX is not responsible for member-level inconvenience caused by Department-level billing issues.
During promotional, beta, or pilot periods, the Service may be provided at no cost or at reduced cost. JDX reserves the right to introduce, modify, or end such pricing at any time with reasonable notice.
Privacy
Your privacy matters. Our data practices are described in detail in the Privacy Policy, which is incorporated into these Terms by reference. Highlights:
- Location data is never persisted server-side. Geofencing is computed on-device only and is opt-in per member
- Mobile numbers are never sold, rented, or shared with third parties for marketing
- Chat messages auto-delete after 90 days
- Account deletion can be requested at any time at /delete-account
Critical Disclaimers
⚠ Not for Emergency Dispatch
StationHQ is a department management tool, not an emergency dispatch system. The Service must not be used as a primary 911 dispatch system, a CAD (Computer-Aided Dispatch) replacement, or as your sole channel for time-critical emergency notifications.
Push and SMS alerts depend on cellular networks, internet connectivity, third-party push providers, and carrier delivery — any of which can fail or be delayed. Always maintain a primary dispatch and notification system independent of StationHQ.
⚠ Not for Insurance, Tax, or Regulatory Submission
Reports generated by the Service — including NERIS reports, finance reports, maintenance reports, equipment-check reports, and budget projections — are internal records. They are not certified for insurance valuations, tax filings, regulatory submissions, court proceedings, or third-party audits.
Always verify accuracy and completeness against your authoritative records before forwarding any StationHQ-generated report to insurers, government agencies, or other third parties.
⚠ Cost Estimates Are Planning Aids Only
The Budget Planner and replacement-cost features generate estimates based on user-entered data and standard NFPA service-life cycles. These figures are not appraisals and must not be relied upon for insurance valuations, financial reporting, grant applications, or capital expenditure decisions without independent verification.
⚠ Does Not Replace SOPs
Use of StationHQ does not replace your agency's Standard Operating Procedures, training requirements, chain-of-command obligations, or any applicable federal, state, or local laws and regulations. The Service is a tool to support your operations, not to replace established protocols.
Service Availability & Changes
We work hard to keep the Service available and reliable, but we do not guarantee:
- Continuous, uninterrupted, or error-free operation
- Delivery of any specific push or SMS message within any specific timeframe
- That any defect or bug will be corrected within any specific timeframe
- That the Service will meet your specific operational requirements
We may modify, suspend, or discontinue any part of the Service at any time, with or without notice. We will provide reasonable advance notice of material changes when feasible.
Disclaimer of Warranties
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO THE IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, ACCURACY, AND TITLE.
Without limiting the foregoing, JDX does not warrant that the Service will be uninterrupted, secure, error-free, or free of harmful components, or that any defects will be corrected.
Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT WILL JDX, ITS OFFICERS, DIRECTORS, EMPLOYEES, OR AGENTS BE LIABLE FOR:
- Any indirect, incidental, consequential, special, exemplary, or punitive damages
- Any loss of profits, revenue, data, business opportunities, or goodwill
- Any damages arising from delayed or undelivered push notifications, SMS messages, or other Service communications
- Any damages arising from reliance on Service-generated reports or AI-generated outputs
- Any damages arising from emergency response decisions made using or in reliance upon the Service
JDX's total cumulative liability under these Terms will not exceed the greater of (a) the total amount paid by your Department to JDX in the twelve months preceding the claim, or (b) one hundred dollars (USD $100).
Indemnification
You agree to indemnify, defend, and hold harmless JDX and its officers, directors, employees, and agents from any claim, demand, loss, liability, or expense (including reasonable attorneys' fees) arising out of:
- Your violation of these Terms
- Your violation of any law or third-party right
- Content you post or transmit through the Service
- Misuse of Service-generated reports or AI outputs
Termination
You may terminate your account at any time by visiting /delete-account or by emailing Admin@JDXStudio.com. Your Department admin can also remove you from the Department roster.
We may suspend or terminate your account, with or without notice, if you violate these Terms, if your Department's subscription is cancelled, or if we determine in good faith that termination is necessary to protect the Service or other users.
Upon termination, your right to access the Service ends immediately. Provisions of these Terms that by their nature should survive termination (including disclaimers, limitations of liability, indemnification, and governing law) will survive.
Modifications to These Terms
We may update these Terms from time to time. When we make material changes, we will revise the "Effective Date" above and, where appropriate, notify users via email or in-app notice. Your continued use of the Service after changes take effect constitutes your acceptance of the revised Terms. If you do not agree, your remedy is to stop using the Service and request account deletion.
Governing Law & Disputes
These Terms are governed by the laws of the State of New Jersey, without regard to conflict-of-law principles. You agree that any dispute arising out of or relating to these Terms or the Service will be resolved exclusively in the state or federal courts located in New Jersey, and you consent to the personal jurisdiction of those courts.
Before filing suit, you agree to attempt in good faith to resolve any dispute by contacting us at Admin@JDXStudio.com and allowing us thirty (30) days to respond.
Miscellaneous
Entire Agreement
These Terms, together with the Privacy Policy and SMS Terms, constitute the entire agreement between you and JDX with respect to the Service and supersede any prior or contemporaneous agreements.
Severability
If any provision of these Terms is held invalid or unenforceable, that provision will be enforced to the maximum extent permissible, and the remaining provisions will remain in full force and effect.
No Waiver
Our failure to enforce any provision of these Terms is not a waiver of our right to do so later.
Assignment
You may not assign or transfer these Terms without our prior written consent. We may assign these Terms at any time without notice in connection with a merger, acquisition, or sale of assets.
